Seating Chart - AI-Powered Wedding Table Planner
Generate conflict-aware seating arrangements in seconds. Drag, drop, and perfect every table.
The Seating module transforms one of the most stressful wedding tasks into a manageable workflow. Define your rooms and tables, mark guest preferences and conflicts, then let the AI generate a balanced plan - or arrange seats manually with drag-and-drop.
What it can do
Multi-room support
Create separate rooms for ceremony, cocktail hour, and reception. Manage each independently.
Table shapes and sizes
Add round, rectangular, long, U-shaped, or square tables with custom capacities. The visual canvas reflects the real layout.
AI seating generation
The AI reads your guest conflict pairs, side preferences, and family tags, then fills every table in one click.
Drag-and-drop editing
Override any AI suggestion by dragging a guest from one table to another. Changes save instantly.
Conflict highlighting
Guests marked as conflicts appear highlighted if placed at the same table, so you can spot issues immediately.
Print-ready export
Generate a clean, printer-friendly version of your seating plan to share with your venue coordinator.
How to use it
- 1
Set up rooms and tables
Go to Seating and click 'Add table'. Choose the shape, set the capacity, and give it a name (e.g. Table 1, Family Table). Repeat for every table in your venue.
- 2
Mark guest preferences
In the Guest module, tag conflict pairs (guests who should not sit together) and preferred pairs (guests who should be near each other).
- 3
Generate a seating plan
Click 'AI Generate' in the Seating module. The system reads all guest data and fills tables while respecting conflicts and side balance.
- 4
Review and adjust
Scan the generated plan. Drag any guest to a different seat or table to fine-tune. The conflict indicators update in real time.
- 5
Share or print
Use the Print button for a clean PDF layout, or enable the Seating tab on your public share link so family coordinators can view it.
Pro tips
Set table capacities 1-2 seats lower than the physical maximum - you will almost always want a few spare seats for last-minute changes.
Create a 'No seat' placeholder table for declined guests. This keeps them in your list without assigning a seat.
The AI works best when you have filled in the bride/groom side for every guest. Balance matters more than most couples expect.
Name tables meaningfully (Grandparents, College Friends, Work) rather than numbers. It makes the review step much faster.
Frequently asked questions
Can I undo an AI-generated seating plan?
Yes. Generating a new plan replaces the current one. We recommend noting any manual adjustments before regenerating.
How does the AI handle family groups?
You can tag guests as 'preferred with' to keep family groups together. The AI prioritizes these pairs when filling tables.
Is there a limit to the number of tables?
No hard limit. The system handles 50+ tables without issues. Very large venues (100+ tables) may see slightly longer AI generation times.
Can I export the seating chart as a PDF?
The Print view generates a printer-friendly layout you can save as PDF from your browser. A dedicated PDF export is on the roadmap.
Can guests see the seating chart?
Only if you enable the Seating tab on your public share link in Settings. You control exactly what each link shows.
