Wedding Timeline Planner - AI Day-of Schedule Generator

Build your wedding day schedule minute by minute. AI generates a complete timeline from your details.

The Timeline module helps you map out every moment of your wedding day - and the days before it. Enter a few key details and the AI generates a full schedule. Then refine it: add events, adjust times, assign responsibilities, and share it with vendors.

What it can do

AI schedule generation

Enter your ceremony time, venue, guest count, and style. The AI drafts a complete day-of timeline in seconds.

Multi-day support

Plan the day before (rehearsal dinner, vendor arrivals) and the day after (farewell brunch) alongside the main event.

Category-based organization

Events are grouped by type: ceremony, reception, photos, logistics, and personal moments. Filter by category to focus.

Responsible person assignment

Assign each event to a person or vendor. Your photographer knows their call time; your caterer knows service windows.

Duration tracking

Set how long each event takes. The timeline flags overlaps and gaps so nothing is accidentally double-booked.

Completion checkmarks

On the day itself, check off events as they happen. Useful for coordinators managing the flow in real time.

How to use it

  1. 1

    Generate your first timeline

Click 'AI Generate', enter your ceremony time, venue details, and guest count. The AI creates a full day schedule from getting ready through to the last dance.

  2. 2

    Review each event

Scroll through the generated events. Each has a time, title, duration, category, and optional location. Edit any detail by clicking the event.

  3. 3

    Add custom events

Use 'Add event' to insert anything the AI missed - a special toast, a cultural ceremony, a vendor arrival window. Set the time and duration manually.

  4. 4

    Assign responsibilities

For each event, add the person or vendor responsible. This becomes your shared run-of-show document.

  5. 5

    Share with your team

Enable the Timeline tab on your public share link so your venue coordinator, photographer, and family leads can follow along on the day.

Pro tips

  • Build in buffer time after key moments like the ceremony exit and group photos. Things almost always run 10-15 minutes late.

  • Add your vendors' contracted service windows (caterer: 4pm-11pm) as events so you can see if your schedule respects them.

  • Use the 'day before' (-1) option for vendor setup times, rehearsal dinner, and transportation logistics.

  • Share the timeline link with your officiant, photographer, and DJ at least two weeks before the wedding, not the day before.

Frequently asked questions

Can I regenerate the timeline if I change the ceremony time?

Yes. Update your ceremony time and click 'AI Generate' again. The AI rebuilds the schedule from scratch. Manual additions will need to be re-added.

Can my vendors see the timeline?

Only if you share a link with the Timeline permission enabled. You can create separate links for different groups.

How detailed does the AI schedule get?

The AI creates 15-30 events covering the full day, from getting-ready through to the grand exit. Adjust granularity by adding or removing events manually.

Can I print the timeline?

Yes - use your browser's print function on the Timeline page for a clean list view, or share the link for a live view.

Does the timeline account for church ceremonies?

Yes. When generating, you can indicate whether you have a church ceremony. The AI adjusts transport times and photo windows accordingly.
