Wedding Planner Workspace - Manage Multiple Client Weddings
A dedicated workspace for professional wedding planners. Manage all client weddings from one account.
The Planner workspace is built for professional wedding planners who manage multiple couples. Every client gets their own full Wedding Co-Pilot environment - vendors, budget, guests, seating, timeline - and you can switch between them from your central dashboard. Your vendor library, questionnaire templates, and professional profile travel with you across all clients.
What it can do
Multi-client dashboard
See all your active client weddings at a glance. Days remaining, guest count, budget status, and planning completion percentage for every couple.
Per-client full environment
Each client gets their own isolated workspace with vendors, budget, guests, seating, timeline, and AI tools. Fully separated data.
Reusable vendor library
Build a personal library of vetted vendors with ratings, pricing, and notes. Copy any vendor from your library into a client's workspace in one click.
AI client questionnaire
Generate a professional intake questionnaire with AI. Export or print it to send to new clients and capture their vision, preferences, and constraints.
Planner profile
Set up your professional profile with your business name, contact details, and specializations. Shown on client-facing share links.
Client status tracking
Mark clients as Active, Completed, or Cancelled. See upcoming wedding dates and flagged planning gaps for each couple.
How to use it
- 1
Upgrade to Planner tier
The Planner workspace requires a Planner subscription. Go to Pricing and select the Planner plan. The workspace activates immediately after payment.
- 2
Create your first client
In the Planner dashboard, click 'Add client'. Enter the couple's names, wedding date, venue, and guest count. A new full planning environment is created for them.
- 3
Build your vendor library
Go to Planner > Vendor Library and add your trusted vendors - photographers, caterers, florists. Add ratings, average prices, and personal notes.
- 4
Copy vendors to client workspaces
When you open a client's workspace, copy vendors from your library into their vendor list. No need to re-enter the same supplier details for every client.
- 5
Generate a questionnaire
Go to Planner > Questionnaire, describe your client's wedding style, and generate an AI intake form. Print or export it for your new client meeting.
Pro tips
Set up your vendor library before creating client workspaces. Clients onboarded later can immediately benefit from your pre-loaded vendor network.
Use the notes field on each client card to track where they are in the decision process - 'Venue shortlisted, waiting on photographer quote'.
The AI questionnaire works best with a brief style description ('outdoor summer wedding, 80 guests, relaxed vibe'). The more context, the better the questions.
Mark clients as Completed after the wedding. Their data is preserved and you can revisit any planning detail for future reference or testimonial gathering.
Frequently asked questions
How many clients can I manage on the Planner plan?
The Planner plan supports up to 10 active client weddings simultaneously. Completed or cancelled clients do not count toward the limit.
Can my clients log in to their workspace themselves?
Not currently. The couple's planning environment is managed by you, the planner. You can share specific views with the couple via share links (read-only).
Is my vendor library shared with clients?
No. Your vendor library is private to your Planner account. You choose which vendors to copy into each client's workspace.
What happens to client data if I cancel my Planner subscription?
Your account downgrades to the standard plan. You retain access to one wedding (your own, if any). Client workspaces become inaccessible until you resubscribe. No data is deleted.
Can I use the Planner workspace for my own wedding too?
Yes. Your own wedding (if you have one) counts as one of your managed weddings and uses your Planner features.
