Wedding Vendor Management - Track Every Supplier in One Place

Organize all your wedding vendors, track booking status, and never miss a payment or deadline.

The Vendor module is your supplier CRM. Every vendor you contact - from the venue to the cake baker - gets a card with their contact details, booking status, pricing, deposit info, and notes. No more spreadsheets or endless email threads.

What it can do

Category organization

Vendors are grouped by type: venue, catering, photography, videography, music, flowers, cake, hair & makeup, officiant, transport, invitations, decoration, and more.

Status tracking

Move vendors through stages: Considering, Contacted, Booked, or Rejected. Your dashboard always shows how many are confirmed.

Pricing and deposit records

Store the quoted price, deposit amount, whether the deposit is paid, and the final payment deadline for each vendor.

AI quote analyzer

Paste a vendor's email or quote document into the AI analyzer. It extracts key details, identifies inclusions and exclusions, and flags anything unclear.

Contract integration

Link vendors to their contracts in the Contract Analyzer module. AI reads contracts and highlights risky clauses.

Notes and inclusions

Store what is and is not included in the quote, plus free-form notes. Everything you discussed is in one place.

How to use it

  1. 1

    Add a vendor

Click 'Add vendor', choose the category, and enter the vendor's name and contact details. Set status to 'Considering'.

  2. 2

    Log the quote

Enter the quoted price, what is included, and any exclusions you spotted. This is your reference point for comparison.

  3. 3

    Analyze their quote with AI

Copy the vendor's email or proposal into the AI Analyzer field. The AI extracts price, inclusions, red flags, and payment terms automatically.

  4. 4

    Update status as you decide

Change status to 'Contacted' once you have reached out, 'Booked' once the contract is signed, or 'Rejected' if you went with someone else.

  5. 5

    Track deposits and deadlines

Once booked, add the deposit amount, mark it paid, and set the final payment deadline so it appears in your payment schedule.

Pro tips

  • Add every vendor you are even considering - rejected vendors help you remember why you chose who you did.

  • Use the AI quote analyzer before your first meeting with a vendor. It gives you specific questions to ask based on what is missing from the quote.

  • Set payment deadlines in the budget module for every booked vendor. Missing a payment can void your contract.

  • Compare vendors in the same category by filtering - you can quickly see price differences and what each includes.

Frequently asked questions

How does the AI quote analyzer work?

Paste the vendor's email, quote document, or any text into the analyzer field. The AI reads it and extracts price, what is included, what is excluded, and potential red flags.

Can I attach files or contracts?

Contract analysis works with pasted text. File upload is on the roadmap. For now, copy the relevant sections from your contract and paste them.

What vendor categories are available?

Venue, catering, photography, videography, music, flowers, cake, hair & makeup, officiant, transport, invitations, decoration, and 'other' for anything that does not fit.

Can I share the vendor list with my partner or planner?

Yes. Enable the Vendor permission on your share link in Settings. Viewers see all vendors and their status.

Can I rate vendors after the wedding?

Yes. Each vendor card has a star rating field. Add ratings after the event to help future planning decisions or referrals.
